Cleanability is a specification decision made months before a customer ever washes anything. Whether a carry product survives cleaning depends on colourfastness ratings, coating adhesion, foam water absorption and the care instructions printed on the label. Get those right in the tech pack and cleaning-related returns largely disappear from the warranty line.

Why Do Cleaning Instructions Belong in the Tech Pack?

In most programmes the care label is written after the product exists, usually by whoever is preparing packaging artwork. That sequence is backwards. What a customer can safely do to a finished piece is determined by its materials, so the care instruction is an output of the bill of materials, not a marketing choice.

Two examples make the point. A coated shell with a PU film at 0.15 mm will delaminate in a 40 °C machine wash, so machine washing cannot be recommended regardless of what a competitor’s label says. Open-cell foam in a padded panel absorbs several times its weight in water and takes 48–72 hours to dry, during which mildew develops. Both are foreseeable from the BOM, and both generate returns if the label promises otherwise.

Which Tests Predict How the Product Survives Cleaning?

Cleanability is measurable. Four standard textile tests cover most of the risk, and all four can be run on the pre-production sample before the label is finalised.

A grade 2–3 result on rubbing is the single most common cause of complaints on dark-dyed products: the dye transfers to a light-coloured shirt on a humid day, and the customer describes it as a quality fault. Testing costs a fraction of the returns it prevents.

How Do Common Materials Differ in Cleanability?

Material choice sets the ceiling on what care instructions can promise. Sourcing teams that understand this ceiling avoid writing labels that invite damage.

  • Coated polyester, 600D–1200D: the most forgiving option. Wipes clean with mild detergent, tolerates spot cleaning, dries in 2–4 hours. Recommend hand cleaning only.
  • Ballistic nylon, 1680D: abrasion-resistant and easy to brush clean, but shows water rings if only part of a panel is wetted. Advise cleaning the full panel.
  • Untreated cotton canvas: absorbs water and stains readily, shrinks 2–4% without pre-shrinking. Specify a wax or PU treatment if the programme needs washability.
  • Coated canvas: good stain resistance but the coating cracks if flexed while cold and wet. Care label must warn against machine drying.
  • Genuine leather trim: cannot be wetted. Any trim on a washable body forces the entire piece into a hand-clean-only instruction.
  • rPET 600D–900D: behaves close to virgin polyester, though colour consistency across dye lots needs tighter tolerance to avoid visible variation after fading.

The leather-trim point is worth flagging early in development. A small pull tab in genuine leather can remove machine washability from an otherwise washable product, which is a merchandising decision disguised as a trim choice.

What Should the Printed Care Card Actually Say?

A useful care card is short, sequenced and specific about temperature and drying. Vague instructions like “clean as needed” transfer no information and offer no defence when a customer damages the product.

  1. Empty all compartments and open every zip before cleaning.
  2. Brush loose debris from seams and the base with a soft brush.
  3. Spot-clean marks with mild pH-neutral detergent diluted in cool water at 20–30 °C, using a damp cloth rather than a soaked one.
  4. Rinse the cloth and wipe again to remove detergent residue, which attracts dirt if left in place.
  5. Air dry upright and open, away from direct heat and sunlight, allowing 6–12 hours for coated shells.
  6. State clearly what must not be done: no machine wash, no tumble dry, no bleach, no solvent cleaner, no radiator drying.

Include the drying time. It is the instruction customers most often ignore, and a padded panel put back into use while still damp is the origin of most mildew complaints.

Which Construction Details Cause Cleaning Complaints?

Some complaints attributed to cleaning are actually construction faults revealed by cleaning. Recognising the pattern helps you fix causes rather than argue about symptoms.

Unsealed foam edges wick water into the padding and hold it, so specify a bound or heat-sealed edge on all foam panels. Light-coloured linings against a dark coated shell will show dye migration if colourfastness to water is below grade 4. Metal hardware with a thin electroplate develops surface corrosion after repeated damp exposure; a 12–24 hour salt-spray requirement in the purchase order screens the worst suppliers. Finally, a base panel without moulded feet sits in whatever liquid is on the surface, so the 3–5 mm ground clearance that protects contents also protects the fabric.

How Do Care Claims Affect Returns and Warranty Cost?

Cleaning-related returns are usually a small share of total units but a large share of customer-service time, because each case is a dispute rather than a defect. Two levers reduce them. The first is testing: colourfastness and coating adhesion results let you write a label the product can honour. The second is precision: a label that names a temperature and a drying time gives a clear boundary between misuse and fault.

There is a costing angle too. Upgrading from an untested dye lot to one verified at grade 4 on rubbing typically adds a small amount per metre, while a single batch of dye-transfer complaints can consume the margin on several hundred units. Put the test in the pre-production stage where it costs least.

What Labelling Rules Apply in Export Markets?

Care labelling is regulated differently by market, and the requirements interact with the compliance file you are already assembling.

  • European Union: fibre composition labelling is mandatory under Regulation 1007/2011; care symbols are voluntary but expected by most retailers. REACH conformance covers dyes, coatings and PVC trims.
  • United States: the FTC Care Labeling Rule applies primarily to textile wearing apparel, but retailers routinely require care instructions on accessories as a contract term. Proposition 65 limits apply to phthalates and lead in coated surfaces and hardware.
  • Retailer audits: OEKO-TEX Standard 100 supports textile safety claims, GRS supports recycled content, and ISO 9001 evidences the factory’s quality system.
  • Language requirements: multi-market programmes commonly need 3–6 languages on the care card, which affects card size and artwork lead time by 5–10 days.

Freeze the bill of materials before third-party testing. A substituted lining or coating changes both the test report and the care instruction that report supports.
